SimCapture allows Monitor Evaluators and Administrative users to complete Monitor Evaluations even after an exam has ended . This ensures that all evaluations are finalized and properly recorded, maintaining the integrity and completeness of exam records .
This workflow is especially useful during time‑constrained OSCEs or exams , where monitor evaluations may not be completed before the encounter ends.
Access and Roles
This feature is available to:
- Monitor Evaluators – Users responsible for completing monitor‑based evaluations
- System Administrators and Administrators – Users who manage exams and course activity
Participants and learners cannot complete Monitor Evaluations.
Important Information Before You Begin
Required Prerequisite
Learner and Standardized Patient (SP) evaluations must be submitted first before a Monitor Evaluation can be completed.
If these prerequisite evaluations are incomplete, the Monitor Evaluation will not be available.
Where Monitor Evaluations Can Be Started
- From the Monitor Interface during a live exam
- During Debrief
- After the exam has ended, if the evaluation was started but not submitted
Monitor Evaluation Lifecycle (At a Glance)
- The exam encounter ends
- Learner and SP evaluations are submitted
- The Monitor Evaluation remains available until completed
- The evaluator can finish the evaluation immediately or return to it later
This ensures no required evaluations are lost due to timing constraints.
Incomplete Monitor Evaluation Pop‑Up
At the end of an exam, if a Monitor Evaluator started but did not submit their evaluation, a pop‑up appears with two options:
Continue This Evaluation
- Opens a new browser tab
- Allows the evaluator to complete and submit the evaluation immediately
Save and Finish Later
- Closes the evaluation for now
- Allows the evaluator to return and complete it later
Note: This pop‑up only appears if the evaluator selected Click to Begin Evaluation and did not submit the evaluation before the exam ended.
Where to Find Incomplete Monitor Evaluations
For Administrative Users
- Selecting Save and Finish Later redirects to the My Active Courses pod
- The course remains listed until the Monitor Evaluation is completed
- Once submitted, the course is automatically removed from the pod
For Monitor Evaluators / Non‑Admin Users
- Selecting Save and Finish Later redirects to the My Courses pod
- The course remains visible until the evaluation is completed
This makes it easy to resume unfinished evaluations later without losing track of them.
Why This Matters
Completing Monitor Evaluations after an exam ends helps ensure:
- No evaluations are missed due to time limits
- Evaluators can work accurately without pressure
- Exam and OSCE records remain complete and defensible
- Evaluation data meets audit, accreditation, and compliance expectations
Once submitted, Monitor Evaluations are permanently tied to the exam record and contribute fully to reporting and review.
